BAHIA PRINCIPE REWARDS (from now onwards “the Program”) is a loyalty program of Bahia Principe designed for travel advisors. The data controller is MANAGEMENT HOTELERO PIÑERO S.L., with Tax ID number B57211732 (the company responsible for managing the Bahia Principe brand and its loyalty programs) and registered address at Avenida Gabriel Roca 33, nº5 Ed. Mediterráneo, 07014 - Palma de Mallorca, Balearic Islands (Spain). You can find additional and detailed information about Data Protection in the Bahia Principe Rewards Program Privacy Policy, available on the website or by requesting it from the Data Protection Officer, who can be contacted at: dpd.privacy@bahia-principe.com.

TERMS & CONDITIONS

1. MEMBERS & ELIGIBILITY

All home-based agents and retail travel agents of legal age, who work for Travel Agencies with a valid IATA, ARC, TRUE, CLIA number or other (henceforth identified as the Member), are eligible to participate in BAHIA PRINCIPE REWARDS.

IMPORTANT: Any employees of tour operators, Online Travel Agency and wholesalers are not eligible to participate in the program.

All travel agents must be registered first of all on the Bahia Principe Hotels & Resorts website, www.bahia-principe.com, in the Agent Rewards section, and then, there will be given the access to BAHIA PRINCIPE REWARDS. The agent who will become the member must also be registered within the corresponding agency’s profile. Each BAHIA PRINCIPE REWARDS member can only have a single account where their points and reservations will be registered.

The program will provide to each BAHIA PRINCIPE REWARDS’s Member a membership number and user that can be canceled at any time by the program owner if the member have not used it during the period of over three years.

2. PROGRAM OBJECTIVE

The program aims to reward and recognize all travel agents effort for selling our stays, increasing their acknowledgement of our hotels, and communicating it to their clients. With this purpose, BAHIA PRINCIPE REWARDS is a points-based system in which its

Members can accumulate points and redeem it for Free Stays and Discount vouchers (that include Hotel´s services and others).

3. BOOKING REGISTRATION

The members will accumulate points in their account once the client’s check-out occurs.

Members will earn points in their account once the client has completed their stay and checked out. All reservations must be manually registered in the member’s account, regardless of the sales channel used.

All reservations made through any valid sales channel will be eligible to earn points, provided they are properly registered. Points will be calculated in accordance with the terms in effect at the time, including any applicable promotions (such as point multipliers per reservation, stay period, or others).

If the travel agent cancels the reservation prior to check-in, or if the client does not show up (No Show), points will not be credited to the account.

Points will be credited to the member’s account only after the client has checked out and all data has been confirmed by Bahia Principe Hotels & Resorts. No points will be awarded prior to such confirmation.

4. EARNING POINTS

Members can earn BAHIA PRINCIPE REWARDS’s points, the following ways:

a) Welcome Points. Every new member by joining the Program will receive points for it.

b) For each booking made by the travel agent to their travel agency’s clients, at any hotel that participates in the program (the corresponding points will be calculating due to the number of Room Nights) through the different booking methods that are eligible for it.

c) Through exclusive promotions: Point multipliers, sales rankings, exclusive promotional codes, participation in webinars.

d) By completing online training courses available in the “Courses” section.

 

The points obtained in the program will expire 3 years after its generation.

The members are allow to transfer points just to Program Member´s that work for the same Travel Agency under the same operating code. The transferred points once in the account of destination member will maintain the original caducity.

The promotions that are published do not accumulate. If a reservation is valid for more than one promotion at the same time, the agent will receive the one that is more beneficial.

IMPORTANT: The program reserves the right to make modifications or corrections to the points account of any participant in the program if it is proven that the points awarded to them, for whatever reason, were not acquired in line with the program specifications. This is true even in cases where a different amount has been communicated via email than the one that actually corresponds to the participant.

5. REWARDS

The account holder understands and agrees that, in order to request a special travel agent rate or to redeem points for rewards, they must verify their status as a travel agent within the Program. For this purpose, any valid document may be used (e.g., ARC/IATA, CLIA, TRUE, business card, website displaying their information, etc.) that confirms their identity as a travel agent. This document will be requested and must be attached during the process of requesting a personal reservation at the travel agent rate.

There are 2 categories of incentives that can be redeem:

• Free Stays

• Discount Vouchers

IMPORTANT: Remind that the incentives are personalized and must be used by the travel agent that have redeemed it in his/her account. Incentives are not transmissible to other participants or people that is not identified as a travel agent and a program’s member either.

a) Free Stays

When the member has enough points to redeem it for a Free Stay, he/she should access to the catalog and select the number of Free Stays and the hotel which he/she wants to travel. The Free Stays are valued differently, according to Bahia Principe Hotels & Resorts brands.

IMPORTANT: After receiving the redemption requirement, our Support team will confirm the availability of the hotel that you have selected as soon as possible. Once confirmed, you will receive in your Account the booking locator confirmation (please, once your redemption was approved, remind to consult all the detail in “Redemption History” in your Account).

At the arrival your travel agent ID will be asked for, so please be sure that you bring it with you.

If you desire to cancel your free stay you can do it without penalization until 2 weeks before your check-in date. For that, please send an e-mail to our Support team. If not done before the 2 weeks, none points will be given back into your account.

Reservations made with Travel Agent Rates Discounts: the cancellation policy can be consulted on the e-mail confirmation that the Travel Agent receives once confirms its purchase.

b) Discount Vouchers

BAHIA PRINCIPE REWARDS offers its members the opportunity to enjoy all services and facilities available at each Bahia Principe hotel during their stay. For each redemption, members will receive the corresponding discount voucher, which can be used during their stay.

Vouchers can only be redeemed if the program member already has a confirmed reservation at Bahia Principe. A voucher cannot be issued to a member without a confirmed reservation. Only the travel agent participating in the Program or the person who made the reservation with the program member may use the vouchers.

IMPORTANT: The value of the vouchers are not refundable and cannot be redeem by money. If the value of the requested service is higher than the voucher in member’s possession, the travel agent can complement it with money. In case of the value of the service is lower than the travel agent voucher, no money will be given to the member.

6. ADDITONAL INFORMATION FOR BAHIA PRINCIPE REWARDS’ MEMBERS

The program will send every month a newsletter. If the data is incorrect, the BAHIA PRINCIPE REWARDS member should inform Bahia Principe Hotels & Resorts, providing the needed documentation to our Support team.

The program reserves the right to be cancelled whenever the proprietary company, Bahia Principe Hotels & Resorts, considers it opportune, granting the registered BAHIA PRINCIPE REWARDS’ members, a period of 3 months to redeem their points. In the event of “the program” ‘cancelation, and once the deadline is reached, all the accumulated points by the members will be automatically cancelled. Bahia Principe Hotels & Resorts won’t be responsible in any case for the losses, damage or prejudices that could be caused to the members by the above mentioned cancellation. Members will have no right to any compensation for them and there will be no possibility to submit any claim to Bahia Principe Hotels & Resorts or to any company within their group on this basis. The Program will be cancelled without prior notice and without any liability and the previous paragraph will not apply under the circumstances of a force majeure or legal enforcement that prevents its continuity or operation.

Bahia Principe Hotels & Resorts reserves the right to unilaterally modify the operational structure of the Program at any time (the list of the points required for redemption stays, the present general terms and conditions, or any other aspect related to the Program or the participation of its members, without previous notice them). In this case, Bahia Principe Hotels & Resorts can notify Members via e-mail or via BAHIA PRINCIPE REWARDS’s website with a minimum notice of 15 days, in the event of a new operational structure for the Program and the Terms and Conditions that govern it, as well as the date on which it becomes effective. If no effective date is indicated, it will be understood that the modifications enter into force 15 days after the e-mail is sent or the information is published on the website, whichever happens first.

The participation in BAHIA PRINCIPE REWARDS carries the automatic, personal and direct intervention of any bonus or incentive offered by BAHIA PRINCIPE REWARDS, will allow the “Program” to carry out publication, both in the winners’ list and in any other promotional support, of the name, personal and professional information as well as of his/her image and/or voice, unless the beneficiary does not formulate his/her acceptance or his/her express refusal to the bonus or incentive, with the purpose of

spreading the prize delivery in the private area of the program and in the monthly newsletters sent to the members.
