1. Full payment with credit card

We accept Visa, Mastercard, Discover and American Express for payment using a secure and encrypted connection. To make a reservation online we require full payment. When using a Debit or Credit card, daily balance limitations may be imposed by your bank. Prior to making your reservation please make sure that the maximum is not less than the balance due or the reservation cannot be confirmed.

A "cancellation" is defined as any change made to the name of a traveler when booked (e.g. a change from "J. Smith" to "John Smith") the substitution of one traveler in place of another, a reduction to the number in the party, and/or the termination of the entire trip. All other changes to a reservation constitute a revision.

 

No prices, flights, hotel, rental car, attractions and services availability, or dates of travel are confirmed until a required payment is received.

All travelers must travel on the same itinerary.

Delivery addresses must be street addresses. No P.O. boxes will be accepted. This does not apply to e-tickets (ticket-less travel).Electronic confirmation and documentation will be sent to the e-mail address listed on the My Account page.

Prices for vacation packages are subject to change without notice, and reservations are based on availability. BP USA Travel reserves the right to correct an error in any advertised price prior to your departure. The vacation package price does not include ground transportation unless otherwise specified in your itinerary.

PROOF OF CITIZENSHIP:

It is the traveler’s responsibility, with no exception (including children), to have in order all personal and family documentation, as required by the country one is traveling to. It will be the traveler’s obligation to obtain the required visas, passports or any other documentation that may be needed in order to visit the country. Requirements may change, so please contact your travel agent for the latest details. U.S. citizens will require proof of citizenship when traveling outside of the continental U.S. It is the traveler’s responsibility to show proof of it. Be sure to carry with you one of the following when you check-in at the airport: Valid U.S. passport, or Original state-issued birth certificate an affixed or raised seal AND valid government issued photo I.D. (i.e., current drivers license).

FAILURE TO COMPLY WILL RESULT IN DENIED BOARDING A valid U.S. passport is the preferred document of citizenship, as it speeds up immigration processing on your return to the United States. When traveling to certain countries, a valid passport is the ONLY acceptable proof of citizenship (see below). Please note that married women using a passport or birth certificate in their maiden name must bring alone a copy of their marriage certificate or risk being denied boarding. If you are not a U.S citizen, contact the consulate of the country to which you are traveling, for current proof of citizenship requirements.

 

TRAVEL REQUIREMENTES FOR MINORS: Minors 17 and under require an original state-issued birth certificate with an affixed or raised seal or valid passport. We regret that we cannot accept unaccompanied minors on any of our vacations packages. Anyone traveling who has not reached 18 on their departure date will be denied boarding if not accompanied by an adult.

Dominican Republic: Law requires that children under 14, on the day of departure, traveling without either parent have a notarized letter stating that the parent(s) have given consent for the child to leave the country. If the child is traveling with only one parent, the letter is not necessary. If the child’s last name is different form the last name of the accompanying parent(s), proof of parentage is required. Parents name-changes must be documented (i.e. marriage certificate). If minor is 14-17 on the day of departure, they must hold either a valid passport or a valid, official photo ID along with their birth certificate.

Mexico: law requires that minors under 18 on the day of departure, traveling without both parents, have a notarized letter from the non-accompanying parent giving consent for the child to leave the country. If traveling without either parent, a notarized letter from both parents is required. If one parent is deceased, a copy of the death certificate is necessary. If the child’s last name is different from the last name of the accompanying parent(s), proof of parentage is required. Parent’s name-changes must be documented (i.e., marriage certificate).

Spain: Spanish requires that all US Citizens have a current US Passport valid for at least 6 months from date of travel.

 

Children under the age of 18 that travel with an adult, require a current US Passport valid for at least 6 months from date of travel. Children under the age of 18 that WITHOUT an adult, besides a current US Passport valid for at least 6 months from date of travel, also require a notarized letter, signed by both parents, allowing the child to travel, as well as information on the person in charge at the point of departure and arrival.

 

Failure to comply with the above requirements will result in denied boarding.BP USA Travel is not responsible if the traveler does not comply with the above mentioned requirements. For up-to-date information, please contact the consulate of the country you are to travel.

 

CUSTOMS: U.S. Customs currently imposes an $800 limit per person on the value of duty-free goods you can bring into the country, from most countries. This amount does vary depending on the particular country to which you travel. Also you are restricted from bringing certain types of goods (e.g., vegetables, fresh fruit) back into the country. Ask your Travel Agent for the latest details and remember to save receipts for purchases made while on vacation.

GETTING MARRIED IN THE RESORT: If you plan to get married in your resort destination, be sure to check with the local tourist office and consulate of the country in which you are getting married for legal documents that may be required.

 

SPECIAL REQUESTS: BP USA Travel will provide the services and facilities of your vacations package as described in your catalog and confirmed on your invoice. If you would prefer special arrangements other than those described, such as adjoining rooms or rooms on a lower floor, special meals or specific assistance needed, we will be glad to pass your special requests to the appropriate vendor on your behalf. However, since these request lie outside our contracts with our suppliers, BP USA Travel cannot guarantee that unless otherwise specified, these requests will be fulfilled.

 

HANDICAPPED SERVICES AND FACILITIES: Should you desire any special service or equipment to assist with a disability, please let us know in advance so we can inform the air carrier. Although we will do our best to assist you, BP USA Travel cannot guarantee the availability of wheelchairs at all airports. Wheelchair accessible rooms may be requested but cannot be guaranteed. Standards may vary from property to property and country to country and are not within the control of BP USA Travel.

CREDIT CARDS AND TRAVELERS CHECKS: Master Card, Visa and American Express Cards are accepted in most destinations. Most local banks and hotels provide a currency exchange.

 

NIGHTS IN YOUR HOTEL: The “Nights at Hotel” listed on your confirmation/travel voucher indicate the number of nights that your room has been reserved for you. If your return flight departs late evening, it is normal for your hotel to require that you check-out of your room at noon. In these cases a room may be available for storing hand baggage and for changing prior to departure. However, this is at discretion of the hotel.

 

DINING DRESS CODE: Although casual dress is the standard by day, many resorts have dress code requirements for dinner. In many cases “casual yet elegant” dress is suggested for women. Men are required for to wear long pants (excluding jeans), proper footwear and shirts with sleeves. Most gourmet restaurants may require men to wear a jacket. Before you pack, be sure to check with your travel agent or visit our web site for detailed dress code information at your hotel.

VALUABLES AND PERSONAL ITEMS:

VALUABLES AND PERSONAL ITEMS ARE YOUR RESPONSIBILITY. Most hotels offer safety deposit box facilities. You may want to deposit cash, traveler’s checks, passports, jewelry and other valuables for security. Do not pack cash, medication jewelry, cameras, film, important documents or fragile items in your checked luggage.

 

SAFETY TIPS FOR TRAVELERS: Traveling to destinations, domestic or foreign, is rewarding and exciting. Tourist must be aware, however, that potential problems and risks to your personal safety could exist everywhere. Please use the same personal safety precautions and common sense in your vacation that would at home. Example: Apply sunscreen, don’t swim alone, avoid display of cash and be especially careful of low railings on hotel balconies. Avoid venturing out alone; beware of dark places and isolated areas… just as you would at home.

 

BAGGAGE ALLOWANCE:

Two pieces of luggage may be checked in per person, and each cannot weight more than 50 lbs. Carry on baggage is limited to one bag per person (not heavier than 40 lbs), plus a personal item. PLEASE BE ADVISIED THAT

EXCESS/OVERSIZED BAGGAGE MAY BE DENIED AT CHECK-IN. If accepted, there may be additional charges. Anyone attempting to check-in excess baggage should arrive at the ticket counters a minimum of 3 hours prior to departure, or may risk being denied boarding. Infants under the age two do not receive a separate baggage allowance. BP USA Travel accepts no liability for loss or damage to luggage, although maximum care will be taken to ensure safe handling. For details on baggage insurance, see your travel agent. Some airline companies limit or exclude responsibility. Some airline companies do not cover damages occurred to soft-cover luggage. The maximum responsibility for an airline in case of loss, damage or delay during check-in, is limited to $2500 per passenger in non-stop flights, and $9.07 per pound, with a maximum of 44 lbs, in case of international flights. These are the limits that will be applies unless that upon check-in there in a change in the charge.

 

AIRLINES: BP USA Travel has made arrangements for international air transportation to your vacation destination via certified air carriers duly filed under D.O.T regulations. BP USA Travel reserves the right to substitute alternative aircraft if necessary.

 

TRAVELING WITH CHILDREN: Infants under the age of two throughout the duration of their vacation fly & stay free, but must sit on an adult’s lap and do not receive a separate baggage allowance. Please note that some schedule airlines may charge infants for air related charges and some countries do charge infant departures taxes. Any such charges (by independent suppliers or governments) are the responsibility of the client. Restrictions may apply to “kids Stay, Play and Eat FREE” programs and most hotels require that children must be accompanied by full-paying adults and pay airfare. Policies vary by individuals hotels.

CONSTRUCTION AND NEW HOTELS: All hotels undergo routine maintenance and renovations. In popular resort areas, there is considerable ongoing construction and BP USA Travel is not responsible for any interruption and/or inconvenience you may encounter as a result. At brand new hotels some facilities may not be fully functional and landscaping and other finishing touches may be ongoing during your stay. If we are advised that significant work at your hotel will be in progress during your stay, or any major facilities will not be available, we will try to advice you or your agent, prior to departure.

 

CATALOG/WEBSITE ACCURACY: We check and re-check prices and facts about the vacations we offer to ensure accuracy at the time of printing. Sometimes, however, you may find that prices have been changed or features we describe may become unavailable. Whenever possible, we will inform your travel agent about such changes. However, all prices ad descriptions in this catalog and our website are subject to change without notice. Some hotel room photographs in this catalog and website do not depict the standard room category. BP USA Travel is not responsible for omissions or errors.

 

RESERVATIONS/PAYMENTS/LATE BOOKINGS: For availability and confirmation of your chosen vacation package, see your Travel Agent who will handle all arrangements with BP USA Travel on your behalf. When making your package reservation with a charter flight, a deposit of $100 per person will be required. The remaining amount will need to be paid 45 days prior to departure. (If reservation is made with less than 45 days prior to departure, payment must be made upon reservation). If the vacation package is reserved with scheduled air, a $150 deposit plus the complete charge of the flight section. If the client does not comply with these terms and payments, BP USA Travel has the right to cancel the reservation. You can pay by check, money order or major credit card. Once your reservation is confirmed with BP USA Travel, the amendment and cancellation chargers as explained in the Fair Trade Contract will apply. Note: If any reservation by you or your travel agent includes children at a hotel that does not accept children, you will be denied at check-in at resort. You and your travel agent will be responsible for any cost.

 

LAST MINUTE RESERVATIONS: We advise you to book early for best choice and value. Late bookings incur additional cost for faxing, express delivery of tickets, and updating and confirming your accommodations. Therefore, we will charge a late booking fee of $10 per person on all reservations made 14 days or less before departure.

 

CREDITS: Contracted but non-utilized services will not be credited back to the client. Also, if the client misses his flight, the flight amount will not be credited and it will be his responsibility to find another flight.

 

IF YOU CHANGE YOUR BOOKING: Any change to a booking requested more than 45 days prior to departure is subject to a $50 administration fee. A name correction, change of name, departure date or tour within 45 days of departure makes the booking subject to full applicable cancellation charges. Changing all names on file constitutes a cancellation. If rooming requirements are altered due to cancellation by one or more passengers, the passengers still traveling must pay the applicable rates for the accommodation to be occupied. Once travel has begun, no changes to the booking are permitted.

 

IF WE CHANGE YOUR BOOKING: This brochure is prepared months in advance and occasionally an advertised facility is either modified of not available. Sometimes, even after confirming your booking, we may have to make changes to your holiday arrangements. Most changes will be minor; however, occasionally we must make a major change to your holiday prior to departure. In the instance that BP USA Travel has to make a major change to your holiday package, we will inform your travel agent immediately:These changes may include:

 

Change of Destination

- Change of Departure or Return by more than 16 hrs

- Change of Standard Accommodation

- Increase in your package tour costs by more than 7% (unless government imposed)

- Change of the routine requiring additional traveler ID or documentation without sufficient time to obtain this documentation before departure

- If there is an error in published rates

 

If we make a major change we will advise you or your agent as soon as possible and you may: Accept the change as offered Select an alternative vacation with BP USA Travel as available at the applicable price Cancel your vacation completely with a full return of the price paid to BP USA Travel

 

Sometimes the accommodation reserved is not available for reasons such as unexpected maintenance problems or overbooking, and a substitute hotel of equal or greater quality is provided. If the hotel standard is downgraded, a refund for any difference in price would be issued. We reserved the right to change publish prices without notice or to pass a government imposed tax, transportation related fees or surcharges including those for fuel or currency fluctuations to the traveler.

 

Important Note: we may not be able to refund in full for changes made because of war, threat of war, riots, civil disturbances, terrorist activity, industrial disputes, natural and nuclear disasters, fire, epidemics, health risks, technical problems with transports as well as flight delays due to weather or for mechanical reason, government action, close or congested airport or ports, supplier insolvency, and similar event beyond our control.

 

IF YOU MUST CANCEL: The following charges apply from the date we are advised of cancellation:

These cancellation fees apply to charter packages and land-only. If a vacation package is reserved with scheduled air, 100% of the flight total may be charged. Cancellation charges included taxes, and or effective from the day that our call center, records your cancellation. BP USA Travel reserves the right to resell any cancel seats or accommodations without refund.

 

ITEMS NOT INCLUDED: Passport and Visa fees, port and embarkations fee, laundry, telephone calls, other items and services of a personal nature, tips to airport baggage handlers are not included in the price of your vacation. Departure/immigration taxes, passenger facility charges, September 11 Security Fee and any applicable fuel surcharges are not included and will be invoiced and collected with final payment. In some instances, departure taxes or tourist card fees are payable at the airport on your day of departure or arrival. We cannot be held responsible for sporting or other activities or optional tours sold locally, as these services are not operated by BP USA Travel. Tours featured are all at extra charge, subject to change and availability. Mention in our brochure does not imply our endorsement.

AIRLINE RESPONSIBILITY: BP USA Travel and all the associate airlines issue tickets and vouchers to cover transportation, hotel and other services. Nor BP USA Travel or the associate airlines is responsible or liable for any loss or damaged baggage, content and/or possessions, act of negligence or omission in any airline, vehicle or through the act of default of any company, civil disturbance, war, weather conditions (hurricanes, or any other unforeseen natural disaster) quarantine, illness, political instability or any other cause that escape reasonable control. The airlines are not responsible for any complaint that arise from a connections with any other form of transportation or services that are part of this package, unless other wise specified in the passenger’s airline ticket. BP USA Travel or any other airline that we work with is not responsible for possible physical or emotional damages in relation to transportation, accommodations, or any other characteristic that has to do with this package.

 

OUR RESPONSIBILITY: BP USA Travel has agreements with airlines, hotels and suppliers in order to offer the bet service. We have followed all procedures to make sure that all agreements are satisfactory for your vacation. Nevertheless, we will not be held responsible for actions, or lack thereof, of 3rd parties which are outside our control. If you where to have any problems with any of these 3rd parties, we will offer you the most help that is within our reasonable control. Forces such as weather, government actions, mechanical problems, physical or mental problems, unable to obtain correct documentation, and many others, are outside our control. BP USA Travel is not responsible for physical or emotional damages caused by delays, turbulence, accidents or other unfortunate actions. We are only liable for any negligible action on our side.

 

FORUM OF LEGISLATURE: All vacations are subject to the terms and conditions that are mentioned in these General Terms, and a reservation means the acceptance of the terms of this contract, including the settlement disputes under the laws of Florida and Texas, respectively. THIS CONTRACT WILL BE GONVERNED BY FLORIDA OR TEXAS LAW.

 

PRICE: Our main intention is to keep you confirmed price at the time of reservation, nevertheless, there may be times when certain components will cause a price to increase. If this where to happen, you will be notified through your travel agent. Upon the new price (unless the increase is due to government imposes or fuel costs) the customer has the right to cancel the package without any penalty (except for the optional insurance, if contracted). This cancellation notification must be made no more than 7 days after the increase notification or before departure if the notification is made less than 7 days before departure. Please remember that we reserve the right to re-invoice in case we make a mistake in calculating your price.

 

FLIGHT INFORMATION: Your travel agent will be able to inform you the last details of your flight at the moment of reservations. The details will also appear in your confirmation at the time you make your deposit. Flight tickets that are issued 2 to 4 weeks prior to departure date (except for last minute reservations) will also receive the detailed information. All times are subject to change. Prices and characteristics mentioned in this contract, as well as those in our webpage and advertisement, are subject to change without prior notification. Some hotel pictures do not show the standard category at the hotel.

 

CUSTOMER COMMENTS: Should you have a complaint while on vacation, please notify our Representative in resort who will make every effort to help you. If the matter cannot be settled on the spot, you must write to our Customer Relations Department within 28 days of the completion of your vacation. The few complaints that we receive are normally resolved by amiable settlement. If, however, we cannot agree, you are entitled to take the complaint to the legal authorities. We reserve the right to give any compensation in the form of vacation certificates, cash or credit card credit.

 

Cancellation penalty waiver BP USA Travel Cancellation Penalty Waiver protects your vacation from cancellation penalties. In the event you need to cancel your trip for any reason up to two days prior to flight departure or scheduled hotel check-in, BP USA Travel will take care of the applicable cancellation charges. Please note that the waiver price is per person, but the waiver is sold only for the entire party.

DETAILS The cancellation waiver takes the worry out of travel. If for any reason you decide to cancel your trip up to two days prior to your scheduled departure, BP USA Travel will waive your cancellation penalties.

Penalties covered by the waiver include:

- Air cancellation penalties, where applicable

- Hotel cancellation penalties

- Rental-car cancellation penalties

- Sightseeing and service-option penalties

 

Notes: BP USA Travel cancellation penalty waivers must be purchased at the time of booking; waivers cannot be purchased after booking. Waiver excludes nonrefundable charter airfare and nonrefundable published airfares which are reusable. Waiver excludes airline change fees and the Travel Protection Plan. It also excludes any Ticketmaster events, such as sporting events and Broadway performances, which are nonrefundable. You must cancel no later than 12 PM (Noon) Pacific Time two days prior to your scheduled flight or 12 PM (Noon) Pacific Time two days prior to your scheduled check-in at your hotel. BP USA Travel cancellation penalty waivers will often not apply to deposits and are only effective after full payment of the booking is received. The cancellation waiver fee is not refundable. The cost shown is per person, but the waiver is sold only for the entire party. If you choose to purchase the waiver, the total cost of your vacation package will reflect coverage for all the travelers in your party.

 

REDEMPTION INSTRUCTIONS

When you purchase an BP USA Travel Vacation Cancellation Penalty Waiver you will be asked to print vouchers. Please keep your voucher handy as a reference for policy information. You do not need to redeem your voucher at any time. You will also be able to access your policy information from the voucher in your online itinerary once your booking is confirmed.

 

Waiver excludes nonrefundable charter airfare and nonrefundable published airfares which are reusable. Waiver excludes airline change fees and the Travel Protection Plan. The cancellation penalty waiver must be exercised no later than 12 PM (Noon) Pacific Time two days prior to your scheduled flight or 12 PM (Noon) Pacific Time two days prior to your scheduled check-in at your hotel, whichever is earlier.
